Create & Customize Email Templates

Build custom templates, use merge fields, and edit email content with the visual editor.

Feature Availability

Template Creation & Customization: Available in Growth plan and above

  • Starter plan: Can view default templates but cannot create or edit
  • Active Growth-level trial and Growth/Scale plans: Full template management, creation, and customization

Accessing Email Templates

  1. Navigate to Settings from the main menu
  2. Click on "Email Templates" or go to /settings/templates
  3. You'll see all templates organized by category (Marketing, Transactional, ARC)
  4. Default templates are shown in a separate section and are read-only

Creating a New Template

Step 1: Click "Create Template"

  • On the Templates page, click the "Create Template" button (usually in the top right)
  • The template editor will open in a new modal or page

Step 2: Fill in Template Details

Required Fields:

  • Template Name: Internal name for your reference (e.g., "Welcome Email v2", "Summer Review Request")
  • Template Type: Select from dropdown:
    • Welcome, Review Request, Follow-up, Reminder, Notification, Product Launch
    • Freebie Delivery (Transactional)
    • ARC Download, ARC Review Reminder, ARC Thank You, ARC Feedback Thank You (ARC templates)
  • Email Subject: Subject line for the email (can include merge fields)
  • Email Body: HTML content of the email (use the WYSIWYG editor)

Step 3: Design Your Template

Use the WYSIWYG (What You See Is What You Get) editor to design your template:

Formatting Tools Available:

  • Text Formatting: Bold, Italic, Underline, Strikethrough
  • Alignment: Left, Center, Right, Justify
  • Lists: Bulleted lists, Numbered lists
  • Typography: Font selection, Font size, Text color
  • Paragraph Styles: Heading 1, Heading 2, Heading 3, Paragraph
  • Media: Insert links, Insert images
  • Advanced: HTML code view (for advanced users)

Step 4: Add Merge Fields

Merge fields automatically populate with lead and product information when emails are sent:

Available Merge Fields:

  • {{Name}} - Lead's name
  • {{product_title}} - Product title from funnel
  • {{review_url}} - Funnel page URL (requires funnel)
  • {{download_url}} - Freebie download URL (requires funnel with freebie)
  • {{arc_download_url}} - ARC download URL (ARC templates only)
  • {{senderName}} or {{email_sender_name}} - Sender name from profile
  • {{seller_logo_url}} - Logo URL from profile

Tip: Use the merge field insertion button in the editor to add fields visually. Merge fields appear as badges in the editor.

Step 5: Preview Your Template

  • Click the "Preview" button to see how your template will look
  • Preview shows sample data with merge fields populated
  • Review the template for formatting, spacing, and content
  • Make adjustments as needed

Step 6: Save Your Template

  1. Click "Save" or "Create Template" button
  2. Your template will be saved and available for use
  3. You can now select it when sending emails or configuring funnels

Editing Existing Templates

Editing Custom Templates

  1. Go to Settings → Email Templates
  2. Find your custom template in the list
  3. Click the "Edit" button (pencil icon) next to the template
  4. Make your changes in the editor
  5. Click "Save" or "Update Template" to save changes

Default Templates (Read-Only)

Default templates provided by ReviewLead cannot be edited. However, you can:

  • Duplicate: Click "Duplicate" to create a copy you can customize
  • Use as Starting Point: Create a new template and use the default as inspiration
  • View: Preview default templates to see examples of proper formatting

Template Editor Features

WYSIWYG Editor

The editor provides a visual interface for designing emails:

  • See your changes in real-time as you edit
  • Format text without writing HTML code
  • Insert images, links, and merge fields visually
  • Switch to HTML code view for advanced customization

Merge Field Insertion

  • Click the merge field button to see available fields
  • Merge fields appear as visual badges in the editor
  • Fields are automatically replaced with actual data when emails are sent
  • Hover over badges to see what data they represent

Logo Insertion

  • Use the logo button to insert your profile logo
  • Logo is automatically pulled from your Profile settings
  • Logo appears in the email when sent
  • You can also use {{seller_logo_url}} merge field

Preview Functionality

  • Preview shows how the email will look to recipients
  • Merge fields are populated with sample data
  • Preview includes compliance elements (footer, unsubscribe link if applicable)
  • Use preview to check formatting and spacing before saving

Template Compliance

ReviewLead automatically adds compliance elements to your emails:

  • Automatic Footer: Includes sender information and customer support email from your profile
  • Unsubscribe Link: Automatically added to marketing templates (Welcome, Review Request, Follow-up, Reminder, Notification, Product Launch, ARC Review Reminder, ARC Thank You, ARC Feedback Thank You)
  • Transactional Templates: Freebie Delivery, Notification, and ARC Download templates don't require unsubscribe links
  • Sender Information: Automatically pulled from your Profile settings

Best Practices

  • Keep It Simple: Use clear, concise language and avoid cluttering the email with too much information
  • Test Merge Fields: Always preview your template to ensure merge fields work correctly
  • Mobile-Friendly: Keep email width reasonable and use readable fonts for mobile devices
  • Brand Consistency: Use your logo and brand colors to maintain consistency
  • Clear Call-to-Action: Make it obvious what action you want recipients to take
  • Personalization: Use merge fields like {{Name}} to personalize emails
