Email Template Types & Usage
Understand template types, usage context, and compliance requirements.
Template rules (quick reference)
Use this table when sending from the Leads table (Contact or Bulk Email). Marketing templates need your physical mailing address in Profile; unsubscribed leads are skipped for marketing bulk sends.

ARC templates: You must choose an ARC Funnel in the send modal so {{arc_download_url}} and related fields work. If you skip it, send is blocked with "Funnel is required".

Email templates are organized into three categories based on their purpose and compliance requirements:

Marketing templates require an unsubscribe link and sender address for compliance. These are used for promotional or follow-up communications.

Standard Template Types
1. Welcome Template
Marketing
Purpose: Welcome new subscribers or leads to your email list.
When Used: Manually sent to new leads or automatically when a lead subscribes (if configured).
Available Merge Fields:

2. Review Request Template
Marketing
Purpose: Request customers to leave reviews for your products.
When Used: Manually sent to leads who haven't submitted reviews yet, or as part of a follow-up sequence.
Available Merge Fields:

3. Freebie Delivery Template
Transactional
Purpose: Deliver freebie download links to customers who completed your funnel.
When Used: Automatically sent when customers complete a funnel with email delivery enabled, or manually sent from funnel settings.
Available Merge Fields:

Compliance: Transactional email - no unsubscribe link required. Automatic footer included.
4. Follow-up Template
Marketing
Purpose: Follow up with leads after initial contact or review submission.
When Used: Manually sent to leads for general follow-up communications.

5. Reminder Template
Marketing
Purpose: Remind leads to complete an action (submit review, download freebie, etc.).
When Used: Manually sent to remind leads about pending actions.

6. Notification Template
Transactional
Purpose: Send important notifications or updates to leads.
When Used: Manually sent for important updates or system notifications.

7. Product Launch Template
Marketing
Purpose: Announce new product launches or releases to your email list.
When Used: Manually sent to announce new products or launches.

ARC Template Types
ARC (Advanced Review Copy) templates are specifically designed for authors sharing book copies before publication. Available for Growth plan and above, and for Author, Enterprise, or Whitelabel user roles.
8. ARC Download Template
TransactionalARC
Purpose: Send ARC download link to reviewers who submitted their information through an ARC funnel.
When Used: Automatically sent when a lead completes an ARC funnel and downloads the ARC file.
Available Merge Fields:

Compliance: Transactional email - no unsubscribe link required. Download link rendered as styled button.
9. ARC Review Reminder Template
MarketingARC
Purpose: Remind reviewers to submit their review X days after downloading the ARC.
When Used: Automatically scheduled and sent X days (3, 4, 5, 6, or 7) after ARC download, based on funnel settings.
Available Merge Fields:

10. ARC Thank You Template
MarketingARC
Purpose: Thank reviewers for submitting their review after receiving the ARC.
When Used: Automatically sent when a reviewer submits a review through an ARC funnel.

11. ARC Feedback Thank You Template
MarketingARC
Purpose: Thank reviewers for submitting feedback (separate from review submission).
When Used: Automatically sent when a reviewer submits feedback through an ARC funnel.

Default Templates
ReviewLead provides default templates for all template types. These templates:
- Are read-only and cannot be edited
- Can be used as starting points for creating custom templates
- Include proper merge fields and compliance elements
- Are automatically available to all users
You can duplicate default templates to create your own customized versions.
