Sending Emails from Leads Table
Send emails to leads from the Leads table. This guide covers individual emails and bulk sends.
Understanding Automatic vs Manual Emails
This guide covers manual sending only. For system-triggered emails, see Email Templates overview.
What Are Manual Emails?
You decide when and how to send manual emails. The system does not send these automatically.
- When to send: You decide when to send (immediately, scheduled, or triggered by your actions)
- Who receives them: Select specific leads or groups of leads
- What content to send: Choose templates and customize content
When Would You Send Manual Emails?
- Follow-up with leads: Send personalized follow-ups to specific customers
- Review requests: Remind customers who haven't left reviews yet
- Product launches: Announce new products to your entire lead list
- Marketing campaigns: Send promotional offers or special announcements
- Support responses: Reply to customer inquiries or provide help
- Resend downloads: Re-send download links to customers whose links expired
Remember: Automatic emails (like Freebie Delivery, ARC Reminders) are sent by the system without your action. You configure them in your funnel settings (Step 3: Freebie & Delivery).
Feature Availability
Email templates (dropdown + create): Growth plan and above.
Bulk email to selected leads: Growth plan and above (bulk email feature).
- Starter: Limited sending without full template picker (per your plan)
- Active Growth-level trial and Growth/Scale: Template selection, bulk send, and ARC templates (if your account type allows ARC)
Accessing the Leads Table
- Navigate to
LeadsorSubscribersfrom the main menu - You'll see a table listing all your leads with columns for:
- Name, Email, Status, Funnel, Date, and Actions
- Use filters to find specific leads (by status, funnel, search term)
- Select leads using checkboxes for bulk actions
Sending Individual Emails
Step 1: Open Contact Lead Modal
- Find the lead you want to email in the Leads table
- Click the "Contact" button (envelope icon) in the Actions column
- The Contact Lead Modal will open
Step 2: Select Email Template (Growth Plan)
If you have Growth plan or above:
- Use the "Template" dropdown to select an email template
- Templates are filtered by type (Marketing, Transactional, ARC)
- Click "Preview Template" to see how the email will look
- Selecting a template automatically populates the subject and body fields
Note: You can still edit the subject and body after selecting a template.
Step 3: Configure funnel context
Which dropdown you see depends on the template type you selected.
Non-ARC templates (Welcome, Review Request, Product Launch, etc.)
- Funnel (Optional): Choose a Review or Lead Capture funnel to fill merge fields like
{{review_url}},{{product_title}}, etc. - If you leave it as None, those funnel merge fields stay empty.
ARC templates (ARC Download, ARC Review Reminder, ARC Thank You, ARC Feedback Thank You)
- ARC Funnel is required. Select the ARC funnel that has your ARC file so links like
{{arc_download_url}}work. - If you try to send without selecting an ARC funnel, the app blocks send and shows: "Funnel is required" (please select a funnel first).
Step 4: Customize Email Content (Optional)
- Email Subject: Edit the subject line if needed
- Email Body: Use the rich text editor to customize the email body
- Merge fields (like
{{Name}}) will be automatically replaced when sent - You can add, remove, or modify content as needed
Step 5: Send Email
- Review your email content in the preview
- Click Send Email (wording may match your screen)
- Wait for the success confirmation message
- The email is sent immediately to the lead's email address
- The modal closes automatically after successful send
Sending Bulk Emails
Bulk email allows you to send the same email to multiple leads at once. This is useful for announcements, follow-ups, or marketing campaigns.
Step 1: Select Leads
- In the Leads table, use checkboxes to select the leads you want to email
- You can select individual leads or use "Select All" to select all visible leads
- Use filters to narrow down the list before selecting (e.g., filter by status or funnel)
- The selected count is displayed in the bulk action toolbar
Step 2: Open Bulk Email Modal
- Click the "Bulk Email" button (envelope icon) in the bulk action toolbar
- The Bulk Email Modal will open showing the number of selected leads
- You can see the list of selected leads in the modal
Step 3: Select Template and Configure
Similar to individual emails:
- Select an email template from the dropdown (Growth+)
- Product Launch and other marketing templates work for bulk sends.
- For ARC templates, select the required ARC Funnel before sending.
- For other templates, optionally select a Review or Lead Capture funnel for merge fields
- Customize subject and body as needed
Step 4: Send Bulk Email
- Click Send to [N] Lead(s) (exact label depends on how many leads you selected)
- A confirmation dialog may appear in some cases
- Confirm to proceed if prompted
- You'll see a progress indicator showing emails being sent
- Progress updates in real-time (e.g., "5 of 20 sent")
- When complete, you'll see a summary with success/failure counts
Note: Bulk emails are processed in the background. You can close the modal and continue working while emails are being sent.
Leads Table Fields & Information
The Leads table displays the following information for each lead:
Table Columns
- Checkbox: Select leads for bulk actions
- Name: Lead's name (from funnel submission)
- Email: Lead's email address (used for sending emails)
- Status: Lead status (New, Contacted, Qualified, Converted, Resolved, Archived, Unsubscribed)
- Funnel: The funnel the lead came from
- Date: When the lead was created
- Actions: Buttons for viewing, contacting, or managing the lead
Action Buttons
- View (Eye Icon): Open lead details modal to see full information
- Contact (Envelope Icon): Open Contact Lead Modal to send email
- Status (Dropdown): Change lead status directly from the table
- More Actions (Three Dots): Additional options menu
Filters & Search
- Search: Search by name or email address
- Status Filter: Filter by lead status (All, New, Contacted, etc.)
- Funnel Filter: Filter by specific funnel
- Funnel Type Filter: Filter by funnel type (Review & Lead, ARC, Lead)
Email Tracking
ReviewLead tracks email delivery status:
- Sent: Email was successfully sent to the email service
- Delivered: Email was delivered to the recipient's inbox
- Bounced: Email could not be delivered (invalid email, full mailbox, etc.)
- Email status is updated automatically by the email service provider
Important Notes
- Full rules table: Template rules (quick reference)
- Merge fields: Select a Review or Lead Capture funnel when your template uses
{{review_url}},{{product_title}}, etc. For ARC placeholders, you must pick an ARC funnel (see Step 3). - Unsubscribed Leads: Leads who have unsubscribed will not receive marketing emails. Transactional emails (like Freebie Delivery) may still be sent.
- Bulk Email Limits: Large bulk email sends may take time to process. The system processes them in the background to avoid blocking your interface.
- Email Delivery: Emails are sent through Brevo (formerly Sendinblue). Delivery depends on email service provider settings and recipient's spam filters.
- Template Compliance: Marketing templates automatically include unsubscribe links. Transactional templates don't require unsubscribe links.
